Position Summary
The Project Coordinator will assist the program team with all program management activities associated with implementing the small business incubator program. In this role, you will aid with supporting program staff, participants, and clients ensuring that information is accurate, files and tracking documents are created in alignment with program activity, all files are maintained and continuously reviewed, activities are fully prepared and coordinated, and provide continuous communication with business contacts

- Develop a comprehensive understanding of the program’s strategic direction regarding energy efficiency and business activities of its customers
- Coordinate with agencies and allies to ensure proper organization of files, paperwork, and data entry as well as communication to the business contacts
- Assist customers with understanding how to participate in program and coordinating paperwork and applications
- Review project applications and documentation to ensure completeness and adherence to program criteria and requirements. Communicate and follow up with program updates and disqualifications to participants
- Develop program timelines, track milestones, and coordinate with project teams to report progress to stakeholders
- Help develop, update, and maintain program PowerPoint slide decks
- Maintain, update, and add entries to the program databases accurately. This may require contacting participants and clients
- Help maintain and update additional program spreadsheets relating to project tracking, lead sharing, and any other needs of this nature that arise
- Assist participants and clients to ensure they have the correct information and marketing materials to promote the program
- Help with customer service calls, corresponding with customer and agency with clear direction from program manager
- Assist with the development and implementation of a plan to attract new customers/participants to meet program objectives
- Assist in developing and delivering training on program related topics
- Serve as a liaison between project teams and other departments within the organization to ensure smooth communication and collaboration
- Support the outreach and application process to ensure applicants adhere to program rules and requirements
- Assist in ensuring the program is completed on time and goals/objectives are met

Desired Skills
- Associate degree or high school diploma/equivalent with at least 4 years of experience directly related to the duties and responsibilities specified
- A combined minimum of 1 year experience in the following: program development, management, implementation; or administration
- Must be able to handle a wide work variety that may not be explicitly stated in the above listed duties and work in a fast-paced environment
Required Knowledge, Skills and Abilities
- Must be able to handle a wide work variety and work in a fast-paced environment as needed
- Must be a detail-oriented, organized, self-starter, and have an ability to prioritize workload
- Proficient in Microsoft Office, specifically Word, Excel, PowerPoint and Outlook
- Strong data entry skills in accurately entering information in tracking systems/databases
- Ability to communicate effectively, both verbally and in writing with customers, clients and team members
- Ability to analyze and interpret data and solve practical problems
- Knowledge of mathematical concepts such as fractions, percentages and ratios
- Ability to thrive in a collaborative environment

Licenses & Certifications:
- Valid driver’s license and reliable transportation
Travel Requirements:
- 10% maximum travel required.
